1. Who we are
Payaptic is an Oracle payroll consultancy based in Ontario, Canada. This policy explains what personal information we collect through www.payaptic.com, why we collect it, who we share it with, and the choices you have.
In this policy, "Payaptic", "we", "us" and "our" mean Payaptic. "You" means anyone who visits our website or sends us information through it.
We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).
2. What this policy covers
This policy covers personal information we collect through our website, including our forms, booking calendar, blog and guides. It does not cover information we handle under a signed client agreement. That agreement governs that information.
3. Information we collect
We collect only what you give us, plus limited technical data about how the website is used.

When you use the contact form or the "Send us a message" form on our health check pages, we collect:
- Your name and email address
- Your company, if you give it
- The type of organization you represent or your Oracle environment, if you select one
- Your message
- Whether you ticked the box to receive updates from us
3.2 Consultant applications
When you apply through our For Consultants page, we collect:
- Your name and email address
- Your primary specialization, years of experience, availability and rate expectation
- The type of work you are open to
- Your LinkedIn profile, if you give it
- Your resume and anything else you choose to tell us
3.3 Guide downloads and product access requests
When you download a guide or request access to a Payaptic product, we collect your name, email address and the details you enter in the form, such as your company and Oracle environment.
3.4 Booking a call
When you book a call through our calendar, you enter your details into Microsoft Bookings. We receive the details you enter so we can hold the meeting.
3.5 Technical and usage data
When you visit the website, our hosting and analytics providers process technical data such as your IP address, browser type, the pages you visit and the time of your visit. See section 7 for cookies and analytics.
We do not ask for payment details, government identification or other sensitive information through the website. Please do not include sensitive information in a message or resume beyond what is needed to assess your experience.
4. How we use your information
We use your information to:
- Answer your message and schedule a call
- Send you the guide or product information you asked for
- Assess consultant applications for roles and engagements, contact applicants, and consider applicants for later roles
- Propose a consultant to a client or a partner for an engagement (see section 6)
- Send occasional updates about Payaptic services, only if you opted in (see section 5)
- Keep the website working, secure and free of spam
- Understand how the website is used so we can improve it
- Meet our legal obligations
We do not sell your personal information.
5. Marketing emails
We send marketing emails only to people who ticked the opt-in box on our contact form. The box is unticked by default, and you do not need to tick it to send us a message.
When you opt in, we record that you agreed, the time you agreed, and the exact wording you agreed to.
Every marketing email includes an unsubscribe link. You can also unsubscribe at any time by emailing us at the address in section 15. Unsubscribing does not affect messages about an enquiry or engagement you are part of.
6. Consultant applications
Your application goes to our talent team. We use it to assess you for current and later roles and engagements.
We can share your profile with a client or a partner, such as a systems integrator, when we propose you for an engagement. We share what is needed to represent your experience accurately. If you do not want to be considered for later roles, tell us and we will stop.
7. Cookies and analytics
7.1 Cookies
We set one cookie of our own, analytics_consent. It remembers whether you accepted or declined analytics cookies, so we do not ask on every visit. It lasts one year.
7.2 Google Analytics
We load Google Analytics only after you click Accept on our cookie banner. Google Analytics then sets its own cookies, such as _ga, to measure visits and page views. If you click Decline, Google Analytics does not load. Google processes this data under its own privacy policy: https://policies.google.com/privacy
To change your choice, clear the cookies for www.payaptic.com in your browser. The banner will ask again.
7.3 Vercel Web Analytics
Our hosting provider, Vercel, gives us aggregate statistics such as page views. Vercel Web Analytics does not use cookies.
7.4 Embedded booking calendar
Our contact page includes a Microsoft Bookings calendar. Microsoft can set its own cookies inside that calendar under its own privacy policy: https://privacy.microsoft.com/privacystatement
8. Who we share information with
We use service providers to run the website and handle your information on our behalf. They can use it only to provide their service to us.

- To protect the rights, property or safety of Payaptic, our clients or others

9. Where your information is stored
Our service providers can store and process your information outside Canada, including in the United States. Information stored in another country is subject to that country's laws, and authorities there may be able to access it.

- Contact and enquiry messages: 12 months after we receive them
- Consultant applications and resumes: 12 months after we receive them
- Guide download and product access requests: 12 months after we receive them
- Marketing contacts: until you unsubscribe. After that, we keep a record of the unsubscribe so we do not email you again.
11. Security
We use reasonable safeguards to protect your information, including encrypted connections to our website and access controls on the systems that hold it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
12. Your rights
You can ask us to:
- Give you access to the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Delete your information, unless the law requires us to keep it
